More often than not, the process of getting something to happen is more tedious than it needs to be. Just think about the hoops you have to jump through to get approved leave time, file a purchase order, or distribute and collect permission slips for example. It doesn’t need to be this difficult! Below you will find my three best tips for speeding up school processes and eliminating incessant paperwork and monotonous procedures for the next task on your to-do list.
Pinpoint the Issue:
Monitor and evaluate your internal processes. Is a headache from human error or a technology glitch? Is your system outdated and in need of reconstruction? Once you figure out where the heart of the problem lies, it’s easier to tackle.
Make your qualms heard! Explain why you are bringing this up and present possible solutions. I’m sure you’re not the only staff member who has a problem with the way procedures are carried out, and perhaps many of them just don’t know a better way.
The most obvious way is also the easiest and most doable–incorporate technology. Going paperless is wonderful for so many reasons, one of which is that it eliminates the possibility of losing or misplacing a form. It also means you can access these documents or tools from anywhere, at any time. I think most schools now use the internet to find and request substitute teachers and book professional development, but what about requesting time off? Submitting a claim form? Issuing a purchase order? Handling a field trip and permission slips? There is so much more we can do.
There are many different options to utilize for your school, but I’m just going to focus on one; Script. It will change your life. The app boasts that it “organizes and automates complicated administrative tasks” in order to make life easier for teachers and parents alike. From one source you can easily manage emergency contacts to messaging parents permission slips for an upcoming field trip. Besides the fact that it’s insanely more convenient to have everything in one spot, the app ensures that you will never be crawling on your hands and knees under your desk searching for the purchase order that permission slip before the trip. It’s also great for fundraising or any collection of money because it can all be done electronically. It eliminates the need to photocopy forms for personal records and keeps even the most disorganized teacher (like myself) feeling competent.
